Privacy policy

Last updated: 10 October 2026

This policy explains what personal data we collect through kalypsoevents.be, why, how long we keep it and what your rights are, in accordance with the General Data Protection Regulation (GDPR).

1. Who is responsible for your data?

Kalypso Events, Quai des Péniches 22, 1000 Brussels, Belgium – company number BE 1021.919.843.
Contact: info@kalypsoevents.be – +32 478 04 79 81.

2. What data do we collect?

When you fill in our enquiry or contact form:

  • your name, email address and, if provided, your phone number;
  • your company name and VAT number, if you book for a company;
  • your event details: date and times, number of guests, preferred space, occasion and your message.

When you book or buy a ticket, we also process the data needed for invoicing and payment. Online payments are handled by our payment provider; we do not have access to your full banking details.

3. Why do we use this data?

  • Answering your enquiry and sending you a quote: pre-contractual steps taken at your request (Art. 6.1.b GDPR).
  • Organising your event, invoicing and collecting payment: performance of the contract (Art. 6.1.b) and compliance with our accounting and tax obligations (Art. 6.1.c).
  • Keeping the site running properly and securely: our legitimate interest (Art. 6.1.f).
  • Measuring site traffic: only with your consent when non-essential cookies are used (Art. 6.1.a).

We do not sell your data and do not use it to send you advertising without your consent.

4. How long do we keep it?

  • Enquiries that do not lead to a booking: 3 years after our last exchange.
  • Data related to a booking, quotes and invoices: for the period required by Belgian accounting and tax law.
  • Browsing data and cookies: for the period stated for each cookie, up to 13 months.

5. Who has access to your data?

Only the Kalypso Events team has access. We use service providers who process some data on our behalf:

  • Odoo S.A. (Belgium): hosting of the site and our management software;
  • Google: embedded Google Maps and, with your consent, audience measurement via Google Tag Manager;
  • Matterport: embedded 3D tour on the barge page;
  • our accountant and, for online payments, our payment provider.

Some of these providers may process data outside the European Union. In that case, the transfer is covered by the safeguards provided by the GDPR, such as the European Commission’s standard contractual clauses.

6. Cookies

The site uses cookies necessary for it to work (session, language, cart). Embedded content (Google Maps, Matterport 3D tour) and audience measurement tools may set their own cookies. You can refuse or delete them at any time in your browser settings.

7. Your rights

You can at any time ask to access your data, have it corrected or erased, restrict its processing, object to it, or receive it in a reusable format. Where processing is based on your consent, you can withdraw it at any time.

To exercise your rights, write to us at info@kalypsoevents.be. We will reply within one month.

If you believe your rights are not being respected, you can lodge a complaint with the Data Protection Authority, Rue de la Presse 35, 1000 Brussels – www.dataprotectionauthority.be.

8. Changes

We may update this policy. The date of the last update is shown at the top of this page.
